Planning a dinner party sounds wonderfully glamorous until you are standing in the supermarket with a trolley full of ingredients, wondering whether you bought enough wine, whether your vegetarian guest can eat the starter and, most importantly, how on earth you are going to get everything onto the table at the same time.
This is where AI can be surprisingly useful.

I don't think AI is going to replace the pleasure of cooking for people — or the instincts of a good cook. But used properly, it is like having an organised little assistant sitting in your kitchen. I use it to brainstorm my menus, calculate quantities, write a shopping list, adapt around dietary requirements and, perhaps most usefully of all, work out what needs to happen and when. You can even input what exact kit you have (or don't have), and it will tailor the plan.
As someone who worked in events for more than a decade and now works as a private chef, I know that the difference between a relaxed dinner party and a chaotic one is usually not the cooking. It is the planning. So here is how I use AI to plan a dinner party from start to finish!

What can AI actually help with when planning a dinner party?
Think of AI as your planning assistant. It is particularly good at taking a large, slightly chaotic collection of thoughts and turning them into an organised plan.
You can use AI to help with:
- Choosing a dinner party menu that balances flavours, textures and courses
- Adapting to any dietary requirements
- Working out how much food you need and using up ingredients you already have
- Creating a shopping list
- Identifying elements you can prepare in advance
- Creating a cooking timeline and event schedule
- Planning drinks and wine pairings
- Designing printable elements like placecards and menus for the table
- Making playlists to set the mood
- Suggesting decor like seasonal flowers to buy and how to arrange them
The important thing is to give it enough information. You have to give it the context a private chef (like me) would want if you hired one.

Step 1: Tell AI about your dinner party
Start with the basics.
Tell it:
- How many people you are feeding
- What time you are eating
- Whether it is a formal dinner or relaxed supper
- Your level of cooking experience
- Your budget
- The season
- How much time you have
For example, here is the first AI prompt to plan a dinner party.
I am hosting a dinner party for eight people. I want to serve three courses and would like the food to feel elegant but not overly formal. I am a confident home cook but don't want to spend the entire evening in the kitchen. Help me plan a menu that I can mostly prepare in advance. I'd like you to help design the menu, write a shopping list with quantities, and create a schedule. I have £150 to spend on food and I'd also like help with cost effective decorative elements.
The more context you provide, the more useful the answer tends to be.

Step 2: Ask AI to create a menu
This is the part I love, and I have spent a lot of time honing it. As a professional chef, menu planning is a huge part of my job and I really enjoy it. But AI will give you so many fun ideas that you can either use as they are, or continue to riff off of. The key here is to give it as much detail as possible in terms of the vibe, otherwise you will end up with something a bit dull and generic. Make sure you include:
- Any dietary requirements
- Specific likes and dislikes
- What equipment you have
Here is an example of an AI prompt to design a dinner party menu:
Please design me a three course menu for the dinner party. I love French and Italian food, using lots of fresh herbs, citrus, good olive oil and interesting textures. I don't want anything too heavy and like to have lots of flavour, colour, texture and some nutrition as well as special occasion treats. Give me three possible three-course menus that are all balanced in terms of flavour, tone and texture. One guest is vegetarian so please create an option for them as well. My budget is £150 total for the food. Can the dessert please be fruit based. It is winter and I have a standard oven and four-ring gas hob, a large gas BBQ outside, and a microwave. I have one afternoon to prep for this party and would like to maximise time with my guests once they arrive at 7pm.
Top tip
One line I always add to my prompts is 'please add some cheffy elements' which really lets AI stretch its legs and include some fun things like herb oils, garnishes and cooking techniques. Depending on your cooking experience level, I'd suggest saying something like 'please add some cheffy elements as I want it to feel restaurant-quality but please ensure it is achievable for a home cook. Do not include any elements that will be particularly difficult to cook simultaneously'.

Step 3: Use your own judgement
Don't just blindly accept what AI has written. If your AI engine seems to think you can make a beef wellington from scratch in 30 minutes, try a different one. In fact, I do find that asking several is often wise anyway. (But also, my salmon en croute is much faster and easier).
And remember, AI doesn't know your guests.
It doesn't know that your friend Sarah absolutely hates mushrooms. It doesn't know that your oven runs hot or that you have limited counter space for prepping.
And it doesn't have your taste.
Use AI to generate ideas, then edit ruthlessly.
I often think of it as having a very enthusiastic junior sous chef who has read an enormous number of cookbooks but hasn't actually been to my house.
You are still the head chef.

Step 5: Work out quantities
Now that you have your final menu, as AI to work out the quantities of all the ingredients that you will need with a shopping list. Tell it that you are catering for adults and would rather have a bit too much than run out of food. Take this list to your pantry and cross off what you already have.
Ask it to suggest an amuse bouche too if you like, a welcome drink, wine pairing and after-dinner drink (if wanted) for this menu to add to the shopping list.
Step 6: Create your shopping list
Now turn the menu into a shopping list. Ask AI to organise it by supermarket section rather than simply listing ingredients recipe by recipe. You can also tell it what you already have.
For example, tell AI to sort the shopping list into these sections:
- Fruit, vegetables and fresh herbs
- Fish and meat
- Dairy
- Bakery
- Cupboard/dry goods
- Drinks
Step 7: Create your cooking timeline
Your prep schedule will be vital. Ask AI to create your timeline, starting at a certain time and tell it when your guests will be arriving. Ask it to build in buffers for inevitable distractions. Ask it to front load as much as possible, so that you have time to greet guests without running back to the kitchen in a frenzy.
Use the following prompt as a guide:
Guests arrive at 7pm and dinner will be served at 7.45pm. Create a cooking schedule beginning at 2pm. Include preparation, cooking, reheating, plating and time to shower and get dressed before guests arrive. Leave me at least 30 minutes before 7pm with no cooking tasks. Prioritise the tasks that will make the biggest difference to reducing stress during dinner.
Here is part of an abbreviated prep list I had AI make me for a major cooking trial I was doing for a new client. It made me a detailed minute by minute schedule, but also broke it all down into sections and priorities, and was really handy to have!

Step 8: Ask AI to help with the little extra details
The little extras make all the difference! Ask AI to suggest some easy flower arrangements you can make at home using seasonal blooms. I also like to use fruit and veg in tablescapes. A beautiful bowl of citrus on the table looks beautiful and costs hardly anything, plus you'll then use it in the kitchen afterwards. I once asked AI to suggest some cool things I could use in a table arrangement and it gave me some amazing ideas, including artichokes which actually looked incredible by candlelight.
I also like to have printed material, so you can ask AI to design you:
- Dinner party invitations
- Printed menu cards
- Place cards
- Drinks menus
Give it a theme, like 'elegant birthday', 'spring soiree', or 'cosy and festive'.
You can also ask it to suggest playlists to set the tone, which I like to do! I'll request certain vibes like 'Studio 54 party' or 'jazz piano'.
The best planning assistant
I use AI to enhance my planning and to remove the boring parts. I particularly enjoy menu design and making a room look beautiful, so I use it less for those parts. But you ca adapt it to suit you.
Once you have had a bit of practise and know how it works best (and it knows you and your tastes and style), this is the prompt I use:
'I am hosting a dinner party for [NUMBER] people on [DATE]. Guests arrive at [TIME] and I want to eat at [TIME]. My menu is [MENU]. My dietary requirements are [REQUIREMENTS]. I have [EQUIPMENT] and I am a [BEGINNER/CONFIDENT/EXPERIENCED] cook. My budget is approximately [BUDGET]. I want to enjoy the party rather than spend the entire evening cooking. Help me create a complete plan including quantities, shopping list, make-ahead tasks, cooking schedule, drinks and anything else I may have forgotten. Ask me any important questions before making assumptions.'
